1. Who we are
SafePort® Mobile is provided by Key Port Operations Worldwide LLC ("KPOW," "we," "us," or "our"). It is the mobile companion to the SafePort® safety and compliance platform, built for workers to capture safety information from the field. This Privacy Policy explains what the SafePort® Mobile app collects, why we collect it, how it is used and shared, and the choices you have.

2. A workplace tool provided through your organization
SafePort® Mobile is a workplace application. You sign in with a KPOW account issued by your organization (through Microsoft sign-in). Your employer or organization decides who may use the app, configures how it works, and owns the safety records you create in it.
For the safety data you enter, your organization is the controller of that data and KPOW processes it on the organization's behalf. If you have questions about how your organization uses your data, or you want to access or delete records, contact your organization's KPOW administrator.
3. Information we collect
- Account identity — your name and email address from your sign-in, used to authenticate you and attribute the records you create.
- Content you create — hazards, incidents, checklist and inspection results, work observations, corrective actions, control measures, and any photos you attach.
- Location (optional) — if you tap "Use my location," we capture your device's GPS coordinates to tag a report. Location is collected only in the foreground, only when you request it. We do not track your location in the background.
- Diagnostics — crash reports and performance and usage diagnostics (through Microsoft Azure Application Insights) to keep the app reliable.
We do not collect data for advertising, and we do not sell your personal information.
4. Microphone and voice dictation
When you use voice dictation, the app uses your device's built-in speech recognition (the Android or iOS speech recognizer) to convert your speech to text. The app receives the resulting text — it does not record, store, or transmit audio. Speech recognition may be performed by your device's operating-system provider under that provider's own terms. The microphone is used only when you start dictation.
5. How we use information
- To provide the app's features and save your reports to your organization's KPOW account.
- To authenticate you and keep your session secure.
- To diagnose crashes and improve the reliability and performance of the app.
We process this information to deliver the service you and your organization have signed up for and to keep it secure and working correctly.
6. How information is shared
Your data is stored in your organization's KPOW environment and is accessible to authorized users within your organization according to the permissions your organization configures. We use service providers to host and operate the service — principally Microsoft Azure — who process data on our behalf under contractual confidentiality and security obligations. We do not sell your data or share it for advertising. We may disclose information if required to do so by law or valid legal process.
7. Data storage and security
Data is encrypted in transit using HTTPS. Access tokens are held in your device's secure storage. The service is hosted on Microsoft Azure infrastructure. No method of transmission or storage is completely secure, but we maintain administrative, technical, and physical safeguards designed to protect the information we handle.
8. Retention and deletion
Safety records are retained according to your organization's configuration and its own recordkeeping requirements. Because your organization controls this data, requests to access, correct, or delete records are handled through your organization's KPOW administrator. You may also contact us at support@keyportoperations.com and we will assist your organization in responding to your request.
9. Device permissions
The app requests the following device permissions. Each is used only for the purpose described, and location, camera, and microphone are used only when you initiate the corresponding action.

10. Children's privacy
SafePort® Mobile is a workforce application intended for adult employees and is not directed to children. It is not intended for use by anyone under 13 (or the applicable minimum age in your region), and we do not knowingly collect personal information from children.
11. Your choices
- You can decline or revoke the camera, microphone, and location permissions in your device settings; the related optional features simply will not be available.
- You can choose not to attach photos or tag location to a report.
- To access, correct, or delete the records associated with you, contact your organization's KPOW administrator, or contact us and we will assist your organization.
12. Governing law
This Privacy Policy and any dispute arising from it or from your use of SafePort® Mobile are governed by the laws of the State of Maryland, USA, without regard to its conflict-of-laws principles.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this policy and post the current version at its published location. Material changes will be communicated as appropriate. Your continued use of SafePort® Mobile after an update takes effect means you accept the revised policy.
