1. Who we are
Avosca is provided by Key Port Operations Worldwide LLC ("KPOW," "we," "us," or "our"). Avosca sends scheduled yes/no compliance checks to the people responsible for them and alerts the responsible professional when an answer needs attention or a check goes unanswered. This Privacy Policy explains what Avosca collects, why we collect it, how it is used and shared, and the choices you have.
If you have questions about this policy, contact us at support@keyportoperations.com.
2. Accounts and your organization
You can create an Avosca account yourself, or join an organization by accepting an invitation from its administrator. An organization's administrators decide who belongs to it, which sites they work at, and what role they have.
For the compliance records created within an organization, that organization is the controller of the data and KPOW processes it on the organization's behalf. If you have questions about how your organization uses those records, contact your organization's Avosca administrator.
3. Information we collect
- Account identity — your name, email address and password (stored only as a secure hash by our authentication provider), used to sign you in and to show who answered or created a check.
- Organization information — the organizations, sites and groups you belong to and your role in them.
- Content you create — the checks, schedules and obligations you set up, and the answers you record. Answers are selections from fixed options; Avosca does not collect free-text notes on answers or alerts.
- Documents you upload for requirement extraction (optional) — if you import a permit or similar document, it is processed to propose checks. Only the file name is stored; the document itself and the passages it was read from are not kept after processing.
- Notification preferences — which notifications you want and your quiet hours.
We do not use advertising or analytics SDKs, we do not collect data for advertising, and we do not sell your personal information.
4. How we use information
- To provide the app's features: scheduling checks, recording answers, and showing the right work to the right people.
- To send email alerts when an answer is flagged for attention or a check is missed. Alert emails name the site, the obligation and the time, and link back to the app; the answer itself stays in the app.
- To authenticate you and keep your account secure.
5. How information is shared
Your data is accessible to authorized people within your organization according to its roles and site memberships. We use service providers that process data on our behalf under contractual confidentiality and security obligations:
- Supabase — database, authentication and server functions, hosted in the United States.
- Microsoft Azure Communication Services — delivery of alert emails.
- Anthropic — processing of documents you choose to upload for requirement extraction, only when you use that feature.
We do not sell your data or share it for advertising. We may disclose information if required to do so by law or valid legal process.
6. Data storage and security
Data is encrypted in transit using HTTPS. Access to records is enforced in the database itself, so each person can only reach the organizations and sites they belong to. Your sign-in session is stored on your device so you stay signed in. No method of transmission or storage is completely secure, but we maintain administrative, technical, and physical safeguards designed to protect the information we handle.
7. Retention
Compliance records are kept according to the retention settings your organization configures, which may reflect permit or regulatory recordkeeping duties. Avosca does not apply a blanket purge to them.
8. Deleting your account
You can delete your Avosca account at any time from within the app:
- Open Avosca and sign in.
- Go to Profile (or More → Profile).
- Tap Delete account and confirm.
When you delete your account, your name and email address are removed, your memberships, assignments and notification settings are deleted, and you can no longer sign in. Compliance records you created or answered remain part of your organization's records, without your name, because organizations may be required to keep them.
If you cannot access the app, email support@keyportoperations.com from the address on your account and ask us to delete it. We will confirm the request and complete it within 30 days.
9. Device permissions
| Permission | Why the app uses it |
|---|---|
| Internet / network state | To communicate securely with the Avosca service. |
| File picker | To let you choose a document to import, only when you start an import. The app reads only the file you pick. |
Avosca does not use your camera, microphone, or location.
10. Children's privacy
Avosca is a workplace application intended for adults and is not directed to children. It is not intended for use by anyone under 13 (or the applicable minimum age in your region), and we do not knowingly collect personal information from children.
11. Your choices
- You can change which notifications you receive in Settings in the Avosca web application.
- You can choose not to use document import.
- You can delete your account as described in section 8.
- To access or correct records associated with you, contact your organization's Avosca administrator, or contact us and we will assist.
12. Users in the European Economic Area, the UK and Switzerland
If you use Avosca from the European Economic Area (EEA), the United Kingdom or Switzerland, the following applies in addition to the rest of this policy.
Who is responsible. For compliance records created within an organization, that organization is the controller and KPOW processes the data on its behalf (see section 2). For your account itself and for running the service, Key Port Operations Worldwide LLC is the controller.
Legal bases. We process your personal data:
- to provide the service you or your organization signed up for — performance of a contract;
- to keep the service secure, prevent misuse and send alerts you or your organization rely on — our legitimate interests in operating a reliable compliance tool;
- where we must keep or disclose information by law — compliance with a legal obligation.
Your rights. You have the right to access your personal data, to have it corrected, to have it erased, to restrict or object to its processing, and to receive it in a portable format. You can delete your account yourself at any time (section 8). For other requests, email support@keyportoperations.com; we respond within one month. Where your request concerns records your organization controls, we will pass it to your organization and help it respond.
International transfers. Avosca's data is stored and processed in the United States. Where personal data is transferred from the EEA, the UK or Switzerland to the United States, we rely on the safeguards in our service providers' data processing terms, including the European Commission's Standard Contractual Clauses.
Retention. Account data is kept while your account exists and is removed or anonymized when you delete it (section 8). Compliance records are kept according to your organization's retention settings (section 7).
Complaints. You can lodge a complaint with the data protection authority in the country where you live or work. We would appreciate the chance to address your concern first at support@keyportoperations.com.
13. Governing law
This Privacy Policy and any dispute arising from it or from your use of Avosca are governed by the laws of the State of Maryland, USA, without regard to its conflict-of-laws principles. This does not limit any rights you have under the mandatory data protection laws of the country where you live.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this policy and post the current version at its published location. Material changes will be communicated as appropriate. Your continued use of Avosca after an update takes effect means you accept the revised policy.
